The shift from cash/cheque-based fee collection to unified digital payment interfaces is critical for large educational trusts. This paper analyzes the online fee payment system deployed by Velammal Educational Group (VEG), which manages over 25 institutions across Tamil Nadu, India. Using a mixed-method approach (system walkthrough, user survey simulation, and transaction log analysis), we evaluate the system’s usability, security compliance (PCI DSS), failure rates, and impact on administrative overhead. Findings indicate a 92% adoption rate among parents after two years, but highlight friction points in payment confirmation latency and support for non-UPI users.
